The Operations Manager for the Event Department will be responsible for overseeing the planning, coordination, and execution of all event operations. This role requires a strategic thinker with strong organizational skills, the ability to manage multiple projects simultaneously, and a keen eye for detail. The Operations Manager will work closely with the Event Director and other team members to ensure the seamless delivery of high-quality events that meet client objectives and exceed expectations. The position also requires a strong network of suppliers


Key Responsibilities:

  1. Event Planning and Execution:

  • Oversee the operational planning and execution of events from concept to completion.

  • Develop and manage event timelines, budgets, and logistics plans.

  • Ensure all events are delivered on time, within scope, and within budget.

  1. Team Management:

  • Lead, mentor, and manage a team of event coordinators and support staff.

  • Delegate tasks and responsibilities to ensure efficient workflow and project completion.

  • Conduct regular team meetings to review progress, address challenges, and celebrate successes.

  1. Vendor and Venue Management:

  • Identify, negotiate, and manage relationships with vendors, suppliers, and venues.

  • Ensure all contracts and agreements are in place and comply with company policies.

  • Oversee the coordination of logistics, including transportation, accommodation, and equipment.

  1. Client Relations:

  • Serve as the primary point of contact for clients during the planning and execution of events.

  • Understand client needs and objectives, and ensure events align with their expectations.

  • Provide regular updates to clients on event progress and address any concerns or issues promptly.

  1. Budget Management:

  • Develop and manage event budgets, ensuring cost-effective solutions without compromising quality.

  • Monitor expenses and implement cost-saving measures where possible.

  • Provide regular financial reports to the Director of Events.

  1. Risk Management:

  • Identify potential risks and develop contingency plans to mitigate them.

  • Ensure all events comply with health, safety, and legal regulations.

  • Handle any on-site issues or emergencies efficiently and effectively.

  1. Continuous Improvement:

  • Evaluate event outcomes and gather feedback to identify areas for improvement.

  • Implement best practices and innovative solutions to enhance event quality and efficiency.

  • Stay updated on industry trends and incorporate new ideas into event planning and execution.

Qualifications:

  • Bachelor’s degree in Event Management, Marketing, Business Administration, or a related field.

  • Minimum of 5 years of experience in event management, with at least 2 years in a supervisory role.

  • Proven track record of managing successful events, preferably within a marketing agency.

  • Strong leadership and team management skills.

  • Excellent organizational and multitasking abilities.

  • Exceptional communication and interpersonal skills.

  • Proficiency in event management software and Microsoft Office Suite.

  • Ability to work under pressure and meet tight deadlines.

  • Willingness to travel and work flexible hours, including evenings and weekends as required.
