The Operations Manager for the Event Department will be responsible for overseeing the planning, coordination, and execution of all event operations. This role requires a strategic thinker with strong organizational skills, the ability to manage multiple projects simultaneously, and a keen eye for detail. The Operations Manager will work closely with the Event Director and other team members to ensure the seamless delivery of high-quality events that meet client objectives and exceed expectations. Key Responsibilities:
Event Planning and Execution:
Oversee the operational planning and execution of events from concept to completion.
Develop and manage event timelines, budgets, and logistics plans.
Ensure all events are delivered on time, within scope, and within budget.
Team Management:
Lead, mentor, and manage a team of event coordinators and support staff.
Delegate tasks and responsibilities to ensure efficient workflow and project completion.
Conduct regular team meetings to review progress, address challenges, and celebrate successes.
Vendor and Venue Management:
Identify, negotiate, and manage relationships with vendors, suppliers, and venues.
Ensure all contracts and agreements are in place and comply with company policies.
Oversee the coordination of logistics, including transportation, accommodation, and equipment.
Client Relations:
Serve as the primary point of contact for clients during the planning and execution of events.
Understand client needs and objectives, and ensure events align with their expectations.
Provide regular updates to clients on event progress and address any concerns or issues promptly.
Budget Management:
Develop and manage event budgets, ensuring cost-effective solutions without compromising quality.
Monitor expenses and implement cost-saving measures where possible.
Provide regular financial reports to the Director of Events.
Risk Management:
Identify potential risks and develop contingency plans to mitigate them.
Ensure all events comply with health, safety, and legal regulations.
Handle any on-site issues or emergencies efficiently and effectively.
Continuous Improvement:
Evaluate event outcomes and gather feedback to identify areas for improvement.
Implement best practices and innovative solutions to enhance event quality and efficiency.
Stay updated on industry trends and incorporate new ideas into event planning and execution.
Qualifications:
Bachelor’s degree in Event Management, Marketing, Business Administration, or a related field.
Minimum of 5 years of experience in event management, with at least 2 years in a supervisory role.
Proven track record of managing successful events, preferably within a marketing agency.
Strong leadership and team management skills.
Excellent organizational and multitasking abilities.
Exceptional communication and interpersonal skills.
Proficiency in event management software and Microsoft Office Suite.
Ability to work under pressure and meet tight deadlines.
Willingness to travel and work flexible hours, including evenings and weekends as required.
