​We are looking for a detail-oriented Purchasing Assistant to support our procurement team and ensure smooth, efficient purchasing operations. This role is essential for managing various administrative and operational tasks, including handling documentation, processing orders, and coordinating with suppliers. The ideal candidate will maintain accurate records, assist with inventory management, and facilitate effective communication with vendors to support the organization’s procurement goals. KEY RESPONSIBILITIES

  • Document Management: Organize and maintain procurement documents, including

purchase orders, contracts, and supplier information.

  • Order Processing: Prepare and process purchase orders based on internal purchase and

service requests, ensuring accurate and timely execution.

  • Order Tracking: Monitor the status of orders, follow up with suppliers about delivery

schedules, and ensure timely receipt of goods and services.

  • Local Purchases: Manage purchases within the local area to support day-to-day

operational needs.

  • Invoice Verification: Verify and process invoices to ensure they match purchase orders

and receipts before forwarding them for payment.

  • Supplier Communication: Act as the primary contact point for suppliers, managing

inquiries, providing information, and resolving minor issues.

  • Inventory Monitoring: Assist in tracking and monitoring inventory levels to ensure

adequate stock.

  • Quote and Proposal Handling: Manage and obtain requests for quotations (RFQs) and

proposals to support procurement decisions.

  • Market Assessment: Conduct market assessments to aid in informed procurement

choices.

  • Customs Clearance: Handle the clearance of goods through customs to ensure

compliance with regulations.

EDUCATION, EXPERIENCE, SKILLS

  • Education: High school degree or equivalent.

  • Additional Qualification: Proven experience in a procurement setup

  • Years of Experience: Minimum 2 years experience in a procurement-related position.

  • Job-specific skills:

  1. Working experience with procurement systems.

  2. Excellent computer skills using the Microsoft Office suite and databases.

  3. Sound analytical and problem-solving skills.

  4. Sound written and oral communication, interpersonal customer service skills the capacity to deal confidently and courteously with people at all levels.

  5. Strong Organizational skills, the ability to complete several tasks concurrently.

  6. Maintain high levels of attention to detail.
